In order to use our service, you must register and supply basic identification data: valid email, name, password, address, etc. We require this as a safeguard against abuse of our facility.

In order to submit feedback, registered users may be asked to supply additional personal identification data in the feedback form: for example - customer name, customer number, invoice number, address, etc. We require this so that the organisation to whom you are sending feedback can identify you, investigate your feedback and can confirm that they are able to respond to you in line with their own Data Protection Policies.
How we collect this information
Some of the data is supplied to us by the user, during registration and during completion of a feedback questionnaire. Other data we gain using log analysis software and by using technology such as cookies*.

Users provide us with their identification data when registering for the service. Users can amend or access their personal details at any stage through the “Member Center” section of the site. If at any time a user wishes to erase their information completely from the site they should send an e-mail to info@utellus.co.uk

* Cookies - A cookie is a piece of data stored on the user’s hard drive containing some very basic information about the user. Cookies help us track the activity on our site. They also enable the site to recognise the user when revisiting to simplify the sign-in process.
What we do with your information
As part of the feedback process we will provide such personal details that you have entered to the organisation to whom you are complaining in order for that organisation to be able to communicate with you. Otherwise the personal information we collect is not shared with any third parties without your express permission or if required by law. We will provide numerical/geographical/categorical/statistical data related to feedback to third parties but these do not include any further personal information other than on an aggregated basis (e.g. 42% of feedback came from the South East).

We do not give e-mail lists to any third party although we may use lists on behalf of third parties where express permission has been given during the registration process for the purpose of research. At all times an option to unsubscribe from any future e-mails of this nature will be provided.

Tracking information related to usage of the site is used to provide us with a better understanding of the visitors’ use of the site allowing us to improve and focus the site on the areas of most interest. We also use this information in describing the activities of our site to third parties. We may use some aggregated data but will never reveal personal information in this context.
When we contact you
utellus Limited will contact you after you have sent feedback to an organisation in order to remind you that feedback has been provided, to update you on the progress of a piece of feedback, to give you an opportunity to update the progress of your feedback on our site and for us to be able to provide you with options. Such e-mails are only sent when we feel it is relevant and some time after the original feedback was provided.

utellus Limited may contact you for research purposes only if you have given your express permission during the registration process. Otherwise we reserve the right to contact you in the event of a query arising from your use of the site.

All staff at utellus Limited are informed of our privacy policies. Should the policies change in any way they will be published on this page so you should check back here regularly.

utellus Limited ensures, as far as is reasonably possible, that security measures are taken to protect personal data. These include safeguards against unauthorised access to data and safeguards against physical damage (i.e. backups).
